Privacy policy (draft)

What we collect

• Account details: your name, email address, organization and sign-in settings.
• What you upload: transcript exports, exhibits and signature images, and the PDFs we build from them. Transcripts can contain other people’s personal and health information; we process them only to produce and deliver your PDFs.
• Billing: Stripe handles card details; we never see or store a full card number.
• Waitlist and contact-sales requests: what you enter on this website’s forms (your name, email address, company, role, transcript volume and message), the page that brought you here, and whether you agreed to marketing email, with the exact wording you were shown. We store these ourselves, in our own database; they are not sent to a third-party CRM. A contact-sales request is also emailed to our sales inbox.
• Website usage: page views and a few named events (such as a sample download), counted by PostHog without cookies.

How long we keep it

By default a transcript’s files are deleted 90 days after its last render, and you can delete a transcript at any time. See Security for the details.

Waitlist and contact-sales requests that do not lead to an account are archived after 12 months without contact: archived requests are kept, not deleted, so we can get back in touch, and we email you marketing only if you agreed to it and have not unsubscribed. We delete everything we hold for your email address when you ask (see “Your choices”).

Who processes it

The services we use are listed on the Security page. We do not sell personal data or share it for advertising, and we do not use transcripts to train AI models.

Cookies

This website sets no cookies of its own and stores nothing in your browser; page counts in PostHog are cookieless. Google reCAPTCHA may set its own cookie once you use a form. The app at app.readbackhq.com uses cookies to keep you signed in.

Your choices

To ask what we hold about you, or to have it corrected or deleted, email privacy@readbackhq.com. A deletion request removes every waitlist and contact record for your address from our database and the copies of your requests in our sales inbox; our email provider deletes its copy of those emails after its retention period (45 days by default). We keep only a one-way fingerprint of the address as proof that we deleted it. To stop marketing email at any time, write to the same address and we mark you unsubscribed.
